Refund Policy

  • Registration fees covering a paper are non-refundable.
  • Registration fees not covering a paper: A full refund, less a US$50 (or equivalent in THB) processing fee, will be issued if the cancellation request is received before the Advance Registration deadline (15 June 2026). No refunds will be granted after this date.

Author Registration Policy

  • Each accepted paper (main conference, workshop, demo, or special track) must be covered by at least one “Author Registration” by the applicable deadline:
    • 11 June 2026 for Regular Papers
    • 16 July 2026 for Demo Papers, Workshop Papers, and Special-Track Papers
  • One “Author Registration” can cover up to four (4) papers from the same registrant (main conference + workshops combined).

Non-Presented Paper (No-Show) Policy

Any accepted paper included in the final program is expected to have at least one author or qualified proxy attend and present the paper at the conference.

  • Failure to present (including absence during most of a poster session) will result in the paper not being published on IEEE Xplore® or other public access forums.
  • The paper will still be distributed to attendees as part of the conference proceedings, and copyright will belong to IEEE.
  • Conference organizers will collect attendance records and report no-shows to IEEE Computer Society staff. Exceptions are granted only by the Technical Program Chairs upon evidence of unanticipated events beyond the authors’ control. Appeals may be directed to the VP-Conferences of the IEEE Computer Society.

Qualified Proxy Policy

Presentation by substitutes is highly discouraged and permitted only with prior written approval from the Technical Program Chairs, supported by solid evidence that no author can attend. Papers presented by unapproved proxies will be treated as no-shows.

Authors with Travel Restrictions Policy

IEEE values diversity and inclusion. Authors unable to travel due to government-imposed restrictions are encouraged to submit papers. Such papers will be reviewed solely on merit.

  • Within one week of acceptance notification, affected authors must inform the Technical Program Chairs with proof of restriction.
  • Possible accommodations (subject to resources): remote presentation, pre-recorded video, or qualified proxy.

Human and/or Animal Subjects

All papers reporting data from studies involving human or animal subjects must include formal review and approval (or waiver) by an appropriate institutional review board or ethics committee. Authors must include a “Compliance with Ethical Standards” section (allowed on page 5 of the manuscript) with statements such as:

  • “This is a numerical simulation study for which no ethical approval was required.”
  • “This study was performed in line with the principles of the Declaration of Helsinki. Approval was granted by the Ethics Committee of [Institution] (Date…/No. …).”

Reporting compliance is mandatory, even when approval was not required. Anonymization rules must be strictly followed during submission.

Conflicts of Interest

Authors must disclose any financial support and any real or potential conflict of interest in the Acknowledgments section (allowed on the references page). Examples:

  • “No funding was received for conducting this study. The authors have no relevant financial or non-financial interests to disclose.”
  • “This work was supported by […] (Grant numbers). Author X serves on advisory boards for Company Y.”

Disclosure (or its absence) is required; anonymization rules apply during review.
